Reception Supervisor, Deluxe 4* Hotel, County Kilkenny. Our client, a beautiful 4* property in Co Kilkenny are currently recruiting for a Reception Supervisor. Main Duties: " To ensure the smooth running of the front desk ensuring the highest levels of guest service and guest satisfaction. " To greet guests in a warm, friendly and courteous fashion and tend to them in a professional manner. " To communicate hotel services to guests in a warm and friendly manner. " To answer the telephone and take reservations per Company standard. " Follow through on guest relations from check in to departure. " To lead the team by example and to display passion & optimism. " To ensure clear lines of communication between the front office department and related departments. " To balance team and individual responsibilities and to provide support as required to fellow colleagues. " To have a thorough knowledge and understanding of all standards and delivery of same within the front office department. " To plan your shift schedule being aware of which team members are working, arrivals, departures, special requests etc. " To conduct a team briefing on commencement of each shift in preparation of service. Ensure a detailed and full handover is communicated to you. " Ensure team members are aware of their responsibilities. " To delegate tasks and follow up of same where appropriate to Front Desk staff members. " Ensure the desk is presentable to give the impression of professionalism. " To have a thorough understanding of all requirements when checking in a guest. Confirm booking, length of stay, package etc. " Maximise room occupancy on each shift. " To check sorted arrivals prior to arrival of duplicate bookings, group arrival details etc. " Daily (48 hrs in advance) checking of arrivals, VIP and chase reports. " To ensure correct rates are posted to guest's accounts. " Ensure all reservations are accepted when applicable, recorded and confirmed in accordance with Company policy and in an efficient and courteous manner. " Ensure accurate and complete entries in the reservations system in accordance with established procedures. " To ensure adequate stock of front office supplies etc. " To coordinate billing with accounts department. " To conduct the rooming of guests and to assist with checking rooms as required, i.e. in the event of unplanned absences, large group check in etc. " To assign duties and shifts to employees in absence of Front Office Manager. " To ensure that standards including are adhered to, implemented and achieved in your department. " To be aware and analyse all forth coming business on a regular basis and be aware of all daily and future business requirements. " To actively participate in all training and personnel exercises designed to improve standards and performance levels. " To ensure that you and the team are familiar with sales and promotional activity and up sell at every possible opportunity. " To have thorough knowledge of Company policies and procedures as detailed in the Employee Handbook. " Deal with lost property according to Company policy. " To set goals and objectives for the team alongside the Front Office Manager. " Carry out responsibilities in accordance with the Company policies and current legislation. " To ensure that weekly rosters and TMS timesheets are submitted to HR in an accurate and timely fashion. To ensure that all payroll procedures are adhered to. " To work alongside the Front Office Manager in managing and compile rosters, controlling payroll costs by ensuring that staffing levels are in line with budget. " Provide consistently high standards by organising training of your team and reinforce the need to maintain standards within the department. " To conduct performance and personal development reviews with team members alongside the Front Office Manager. To provide feedback both in the form of praise and undesirable behaviour and where necessary take corrective action. " To participate in cash handling training (a procedures document will be issued to you to review and sign. Requirements: " Previous Reception Supervisor/ Senior receptionist experience is a must. " Excellent Customer service skills, standards driven, good organisational skills. " Ability to communicate to and motivate the team providing day to day leadership and direction. " Excellent Communication and PC Skills. Hotsoft experience is an advantage. " Flexibility to work weekends, weekdays and a mixture of early/late shifts.
