Description

Administrator/Receptionist. The Administrator/Receptionist is key role in the efficient operation of the organisation. They will be responsible for developing a production schedule and assigning staff. Main Responsibilities. Responsible for answering phones and been the first point of contact for all queries. Contacting of clients to schedule in work crews. Management of scheduling in of the daily crew works and surveyors and preparing paperwork for next day’s boards /schedules. Filing and dealing with the returned board from the previous day. Daily updating of the control and excel sheets. Identifying snags and creating entry in snag list and scheduling of same. Responsible for taking note of all hours in excel for payroll purposes. Emailing of quotations and logging them into excel. Updating and maintaining of all databases. To ensure that the database reflects works actually carried out and all necessary paperwork by following checklist on front of each Work Order. Proactive in seeking improvements in processes and procedures, and implement those improvements. To organise the work that has been identified and to keep a record of same. To ensure that all documentation for work carried out is completed accurately and copies maintained for record purposes. Printing of debtors ledger and collection of debtors where further advice or information is required. To maintain the office procedures manual which maintains the efficient storage of all important information for the running of front office. The ideal candidate will have; Strong analytical abilities, with attention to detail. Strong organisational skills. Excellent oral and written communication skills. Highly organized and flexible.
